Regardless of the capacity assigned to contractors within your organization, whenever calculating utilization & capacity you should filter your reports to be based on Full-Time Employees and on your Contractors.
Contractors, by definition, are a more flexible workforce and we do not want them inflating the capacity of your full-time workforce.
We have seen contractors deployed in numerous different ways, but given their flexible nature, ensuring that their cost is specific to their contract is important as it will ensure better analysis of that contractor’s performance on the the project financials and the implication of their time versus the use of a FTE or potentially a new hire.
Cost should be used to measure the true margin and profitability of the project, while the Bill Rate on the project should reflect the team’s budget burn if applicable.
What to do when your Contractor is now an Employee:
[NOTE! If you have PX Timesheets (PX time Uploads or PX Timesheets, etc.) then you will need to reach out to Contact Support for assistance.]
To maintain the historical data in Parallax, it's recommended when hiring a Contractor to term the contractor record in Parallax and create a NEW employee profile record in Parallax.
The best way to do this and keep the same name and email is to do the following steps below.
Go to Settings & People in Parallax (Link)
Terminate Contractor Record
- Add an "*" behind the first name and the last name of the individual.
- Change current email from joe@email.com to joe_Old_@email.com.
- Add the date of termination for the contractor role
- Click SAVE

By doing these steps, you will retain the historical information on projects for the contractor phase and create new on the employee record going forward.
Note: You will need to do the above steps in the Timekeeping system as well (Harvest, EverHour, etc) as well as Parallax is 1:1 with the employee profile email. If you do not create a new profile in the time system, the original time from the timesheet will flow into PX without any separation of historical to new time.
